Position Description: Background:
The Office Manager will be a central figure in ensuring that our office operations run smoothly and efficiently.

Responsibilities:
Office Maintenance: Ensure that the office environment is clean, organized, and conducive to efficient operations.
Supply Management: Order and maintain office supplies, ensuring that all departments have necessary materials on hand.
Administrative Duties: Handle day-to-day administrative tasks such as answering phones, managing mail, filing, and record-keeping.
Vendor Relations: Coordinate with vendors and service providers, such as cleaning services, utilities, and office equipment maintenance.
Meeting Coordination: Schedule, organize, and set up for meetings, including booking conference rooms and arranging refreshments.
Financial Tasks: Assist with some basic bookkeeping tasks, manage petty cash, and work with finance to process invoices and expenses.
Onboarding: Assist HR with the onboarding process for new employees, including workspace setup and initial orientations.
Event Planning: Coordinate and plan office events, celebrations, and team-building activities.
Marketing: Assist with the development and maintenance of Circles social media accounts.
Safety and Compliance: Ensure the office adheres to health and safety standards and that employees have a safe working environment.
Supplier Engagement: Establish and maintain relationships with suppliers, negotiating terms and pricing.
Order Management: Prepare and execute purchase orders, track their status, and ensure timely delivery.
Cost Analysis: Regularly analyze costs and assess the quality of products and services to achieve maximum value.
Inventory Oversight: Collaborate across all functional teams to monitor stock levels, ensuring the right products are always available, particularly during active construction periods.
Documentation: Maintain accurate records of all procurement activities, including vendor contracts and payment details.
Requirements:
Highly organized, responsive and a gettir-done mentality
1+ years of experience in procurement or a related field
Strong written and oral communication skills
Tech-savvy with excellent email etiquette and the ability to quickly learn and teach a variety of office programs (e.
g.
slack, intuit, G-suite, etc.
)
Attention to detail and comfortability asking questions
High School diploma or equivalent.
Valid driver's license and comfortability loading and driving large vehicles.
