Administrative Assistant - Financial Education Public-Private Partnership
(Part-time 50% - Project Position)
$22,250 - $26,250 annually

Closes March 11, 2024 The Washington State Financial Education Public-Private Partnership (FEPPP) seeks a FEPPP Administrative Assistant to join the FEPPP team.
This part-time project position is based in Olympia, Washington.
This position may be eligible for partial to near full-time telework.
Telework is a combination of in-building and off-site days.

About FEPPP In 2009, the Legislature passed SHB 1347 to extend the efforts of Financial Literacy Public-Private Partnership (FLPPP), and to create the Financial Education Public-Private Partnership (FEPPP).
The committee unites individuals from both the public and private sector to provide quality financial education for students in the public school system.
FEPPP continues the work of Identifying strategies to increase the financial education of students; Providing quality financial education information for school districts, and; Providing financial education instructional materials and professional development.
FEPPP Goals Communicate to school districts the Jump$tart national financial education standards and strategies for expanding the provision and increasing the quality of financial education instruction; Review continuously the financial education curriculum, including instructional materials and programs available to school districts; Develop evaluation standards and a procedure for endorsing financial education curriculum that should be recommended for use in the school districts; Identify assessments and outcome measures to determine whether students have met the Jump$tart financial education standards; Monitor and provide guidance for educators to integrate financial skills and content knowledge into mathematics, social studies, and other course studies; Create professional development that could lead to certificate endorsement or other certification of competency in financial education; Develop academic guidelines and standard protocols for use by classroom volunteers delivering financial education to students in the public school system; and Provide annual reports to the governor, the superintendent of public instruction, and the committees of the legislature with oversight over K-12 education and higher education.
Position Overview This position will provide administrative support to the Executive Director for FEPPP and additional FEPPP staff of the program.
This position oversees, coordinates, and assists with all administrative functions of FEPPP.
This position is responsible for supporting the work of FEPPP, with minimal direction, by performing administrative duties of a substantive nature that have been delegated to the administrative assistant, along with other duties as assigned.
Key Responsibilities 50% Duty: Oversee the administration of FEPPP Tasks include: Develop and maintain general office files.
Plan, make travel reservations and submit reimbursement paperwork for FEPPP staff, board members, and educators.
Provides program purchasing support researching purchase needs, submitting appropriate paperwork and keeping track of inventory.
Assists Program Supervisor tracking program expenditures by reporting projected accruals.
May support Program Supervisor with budget reports, financial tracking and invoicing as needed.
Ensure all documents and presentations adhere to agency style and brand standards.
Provide copy editing support.
Assist with the coordination of the agency’s data sharing process.
Assists with coordinating statewide committee meetings, workshops, and professional development sessions including preparation of meeting notices, completion of required agency approval request paperwork, entering information into pdEnroller, communication with invitees, making logistical arrangements, preparing meeting materials and handouts (such as final editing of presentations, refinement of meeting agendas, etc.
), and capturing meeting minutes, as necessary.
Complete and track print requests Complete all mandatory agency trainings.
20% Duty: Provide direct support to the Executive Director Tasks include: Represent the Executive Director and the division in meetings as directed.
Assist FEPPP staff with calendar management.
Schedule workgroup and other meetings trainings and events with partners/collaborators; including coordinating any necessary logistics and providing staff support as needed.
Support and attend teacher trainings and committee meetings at the Executive Director’s discretion.
Working closely with the Executive Director to develop avenues for partner and cross-agency collaboration, including supporting and participating in various projects and initiatives.
(Jump$tart and Webtool as examples) Draft/write FEPPP Policy and Procedures 20% Duty: Manage the division’s communication strategies Tasks include: Act as a liaison between partners.
Draft communications to partners and collaborators.
Track outreach and dissemination activities.
Maintain websites, social media sites, and SharePoint sites.
Attend mandatory web contributory trainings when possible.
Create and/or edit bulletins, pamphlets, brochures, videos, and/or other marketing goods.
Prepare program mailings.
Prepare monthly newsletter.
5% Duty: Provide research assistance Tasks include: Collect and summarize FEPPP data per direction of the ED Maintain FEPPP Database 5% Duty: Records Management Tasks include: Maintaining, organizing, and archiving (when necessary) departmental electronic and paper files in consultation and collaboration with the ED and per agency and state records retention policy.
Respond to public records requests.
Ensure all public records of the program are managed according to the appropriate retention schedules.
Required Qualifications: High school graduation or GED equivalent AND three (3) years of progressively responsible experience in utilizing organizational skills in office/clerical, secretarial, bookkeeping, accounting, or general administrative skills or work experience OR Associates degree AND two (2) years of progressively responsible experience in in utilizing organizational skills in office/clerical, secretarial, bookkeeping, accounting, or general administrative skills or work experience OR Bachelor’s degree AND one (1) year of experience in in utilizing organizational skills in office/clerical, secretarial, bookkeeping, accounting, or general administrative skills or work experience.
In addition to those required qualifications, our ideal applicant will also have some or all of the following: Proficiency in the Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), and experienced internet research.
Experience with the development and administration of multi-funded budgets.
Possess the ability to handle sensitive issues with tact and diplomacy.
Demonstrated ability to take initiative.
Experience in analysis and problem solving with an achievement orientation.
Self-directed, exhibits good judgment, and demonstrates experience working in a fast-paced environment with ever-changing priorities.
Ability to multi-task, prioritize work for self and others, handle short deadlines, and work independently.
Adapts and works effectively with a variety of situations and person encountered.
Excellent oral and written skills with demonstrated ability to impart complex concepts to technical and non-technical staff and customers.
Knowledge of proper English grammar, punctuation, business correspondence formatting, and proofreading.
Proficient in all aspects of Microsoft Office and Internet usage.
Knowledge of general state processes, rules, and regulations highly desirable.
Desired Qualifications: Ability to maintain the highest standards of confidentiality, as well as standards of personal, professional, and ethical conduct.
Knowledge of state agency rules, policies, and processes for: contracting, purchasing, travel, and meeting regulations.
Experience with coordinating logistics for meetings within and outside the agency to include processing all fiscal required documents related to travel.
Experience with file maintenance, record retention, and organization.
Previous experience supporting multiple team members with their administrative needs.
Compensation The annual compensation for the position is $22,250 - $26,250 per year and depends upon experience, educational background and qualifications.
