We are excited to announce this new opportunity for an Administrative Assistant 3, Full Time - Permanent position for the Veteran Services Division at our Central Office in Olympia, Washington! This position will provide administrative support requirements for the Veterans Services Division and Counseling and Wellness Program and assists program management with monitoring contracts, budget revenue and expense, providing administrative reports, and other duties.

As the Administrative Assistant 3, your position is critical and essential as a gathering point of data, checkpoint for quality control, recording, integration, and conversion of data into established formats and reports for the Counseling and Wellness Program and Veterans Services division.
We are looking for a candidate who can think creatively, develop concepts, and plan procedures to meet the fiscal requirements and objectives of programs, write concisely, and work effectively with all agencies and community partners involved.

Processing all Contract Processing Action Requests (CPARs), revenue and expenditures for all grants, interagency agreements, contracts, and MOUs; 032 purchasing requests, monthly contract, and grant billings, credit card purchasing (includes monthly reconciliation).
Verifying all intake forms, assessments, and evaluations.
Interacting with submitting individual or organization entity to clarify information if there is a questionable submission.
Proactively alerting management of any adverse trends identified which may negatively impact meeting future or current deliverables so that changes to the program and tracking tools can be implemented to ensure compliance.
Seeking methods to be more efficient in the collection of data while at the same time ensuring data security and compliance.
Planning, evaluating, and consulting with staff and outside entities to identify problems, explores solutions and alternatives, and recommending resolutions designed to meet the goals and objectives of the division.
Working collaboratively with contractors, partners, and participants within the division on budget, fiscal, and contract processes.
Planning, assisting, and attending community events, scheduled meetings, and impromptu meetings.
Providing logistics support to outreach and assisting in managing social media accounts.
As directed by the VCC PS5, attending events involving environmental conservation or agriculture and providing logistical and administrative support to those events.
Providing direct referrals to partner programs for interns when needed.
With the support of the VCC PS5, assisting in conflict resolution and mediation between interns, supervisors, and site staff.

Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Please Note: Formal relevant education may be substituted year-for-year for experience.
Preferred/Desired: A Bachelor's degree in business administration, public administration, or closely allied field from an accredited institution whose accreditation is recognized by the U.
S.
Department of Education or the Council for Higher Education Accreditation (CHEA) or a foreign equivalent and two (2) years of responsible office experience at the senior clerical level or higher.
Knowledgeable about statewide governmental policies and operations and abide by those policies and laws and regulations of the State of Washington.
Proficient in Microsoft Office including Word, Excel, and Outlook.
Experience working with Veterans and/or family members Experience with PowerPoint, Prezi, InDesign, and Adobe Photoshop or similar programs, Supplemental Information Application Process: Top candidates will be contacted directly to interview for this position.
