Description
The ideal candidate will have a minimum of three years clerical experience in a fast-paced environment.
They will be detail oriented and be experienced using a variety of technology tools and have the ability to manage multiple projects at one time.
You will provide high level enterprise office support to the Leave and Care Division (LCD) and provides high level office manager support to all Operations management and staff, reporting directly to a Customer Service Manager for the Leave and Care Division (LCD).
You will meet regularly with other LCD administrative support personnel in establishing standardized practices in support of our programs.
You are responsible for coordinating recruitments, new employee information and set up, processing purchase requests, creating and updating office workflows, and other administrative duties as needed.
Additionally in this role you may be called on for coordinating personnel changes and other administrative duties as required to support the LCD Leadership Team and division’s initiatives and projects.
This role is critical to supporting the successful day to day operation of the division in its mission.
This is a full-time/permanent position that is primarily telework but may require in office participation as needed.
Duties As an administrative assistant for Leave and Care, Operations unit you will provide administrative support to managers and supervisors.
Independently conduct administrative activities and communications; monitor information, requests, and internal assignments to ensure timely completion; assist in administrative projects and business process assignments.
Coordinate travel arrangements and maintain supporting documents.
Coordinate and maintain calendars and appointment schedules, coordinate and make meeting arrangements; prepare agendas and handouts and maintain time sheets and leave requests; monitor and reconcile charge code use and leave balances to timesheets; keep secure records.
Some of what you'll enjoy doing: Create, maintain, and communicate workflow processes and forms of the division.
Provide back-up staff when necessary; assist with additional activities (i.
e.
, special assignments, committee work, recognition activities, etc.
).
Assist in developing and implementing office processes and procedures, gather and compile data, and maintain data files for LCD programs.
Prepare, review, and maintain correspondence, reports, form and documents for signature; develop and maintain current lists and matrixes, (i.
e.
organization charts, phone lists, signature authority matrix, training request, required policy reviews, etc.
) Arrange staff travel and training; maintain supporting documentation.
Generate activity schedules, schedule events in facility.
Prepare correspondence for signatures, process mail.
Act as telecommunications and technical support liaison; coordinate request with facilities.
Assist in developing, updating, processing, and monitoring resources and data sharing agreements and other contracts.

Coordinate required personnel recruitment, selection, appointment, and promotion paperwork.
Track and monitor performance evaluation schedules.

Qualifications Required: High School Diploma or GED AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR Formal education will substitute year-for-year for experience equivalent to three (3) years.
OR A combination of education and/or relevant experience equivalent to three (3) years.
Additional Requirement of Employment: Must be able to pass an Unemployment Insurance (UI) Claim & Benefit Information Review.
