edu/about/jobs/Position OverviewThThe Washington State Board for Community and Technical Colleges (SBCTC) is seeking candidates to fill an administrative assistant vacancy for the Education Division.
This position provides direct confidential support to the directors of student services and policy research, and to the exempt staff in both departments.
The position interacts with all levels of state government including administrators, program managers, executive assistants, other state agencies, and the public.
This position reports to Student Services Director.
This position is headquartered in Olympia; however, hybrid work can be negotiated.

EXAMPLE OF DUTIES
In support of directors, coordinate office operations, prepare background information in preparation for professional commitments, establish priorities and perform special projects and assignments.
Serve as liaison between directors and other department members, transmitting assignments and requesting status information.
Manage calendars for directors and exempt staff.
Conduct meeting polls and schedule appointments, including Webex and conference calls, and provide support for system meetings and conferences as needed.
Serve as website content manager for policy research and student services, including creating, posting, and updating content and links.
Establish and maintain office procedures, standards, priorities, work methods, and deadlines, and initiate actions to ensure efficient workflow and attainment of work goals.
Compose, prepare, and transmit memos, letters, reports, confidential and sensitive materials, and other documents.
Ensure published documents and reports meet accessibility and agency branding standards.
Assist the public, including prospective, current and former students, with questions, complaints, and information requests.
Maintain the Education Division survey instrument (Surveymonkey) account.
Assist with survey development, publish surveys, monitor responses, and provide summary reports of results.
Provide administrative support for agency Institutional Review Board development and operations, including scheduling, managing incoming requests and circulating proposals, developing and maintaining records and formal communications.
Provide assistance to Student Services Commission (WSSSC) leadership team, including budget coordination, preparation for quarterly meetings, and note-taking during meetings as needed.
Miscellaneous duties, including supporting directors and exempt staff during Legislative Session, supporting Legislative Interns, and assisting other departments in preparation for events (Guided Pathways, for example) and other tasks.
