QUALIFICATIONS: High School diploma or equivalent; Associate of Arts degree or 5 years of successful job-related experience preferred; Criminal Justice Fingerprint Clearance.
First Aid Certification.
POSITION SUMMARY: Provides district-level office management for a department.
Responsibilities may include district-wide program managing; liaisons between sites, community and district office; compliance specialists in designated field; and advises and trains other district employees.
Essential functions may vary based on department.
ESSENTIAL FUNCTIONS:
Serves as department expert for visitors, vendors, staff and community members to provide information and respond to inquiries
Oversees processes for a District wide program
Composes documents and may update webpages for the purpose of communicating information
Directs the work assignments of others for the purpose of meeting operational requirements
Establishes and maintains positive working relationships with community members, administrators and staff
Prepares and processes written communications regarding district-wide activities and procedures
Processes and analyzes a variety of fiscal information (e.
g.
invoices, purchase orders, requisitions, reimbursements, grant receivables/payables, etc.
) for the purpose of updating information and/or verifying/initiating final action in compliance with accounting procedures and agency policies.
Assists external auditors in providing requested information (e.
g.
payroll procedures, contract requirements, time sheets, wages paid, benefit eligibility, etc.
) for the purpose of providing necessary documentation for completion of audit.
Develops and implements effective and efficient work procedures with the purpose of identifying potential improvements or reducing potential problems
Provides specialized knowledge, experience and technical assistance in a given field or department
Provides district-wide training for current programs
Manages specific department tasks including personal service contracts, fees, project scheduling, and payroll and leave records
Maintains, tracks and assists with planning department budget and financial records
Independently serves as a contact or liaison between the District and outside agencies
Supports department administrator and/or superintendent
Ensures compliance with district policies, state and federal laws, rules and regulations
Monitors assigned program for the purpose of ensuring compliance with financial, legal and/or administrative requirements
Demonstrates sound and independent decision making skills
Performs other duties as assigned

REQUIREMENTS:
Expert level skills with computer applications including Excel and MS Word
Command of English in both written and verbal form; use correct spelling, grammar and punctuation
Expert level knowledge of district and department policies, state/federal laws and rules and regulations
Expert level knowledge of department operations and procedures
Conduct all job responsibilities independently with utmost confidentiality
Ability to work effectively with frequent interruptions and changing priorities while consistently producing accurate work
